Koley Jessen P.C., L.L.O., is a dynamic law firm powered by dynamic people. The Firm is seeking a Chief Operations Officer (COO), whom under the direction of the President and the Executive Committee, has responsibility for administrative functions of the firm, including financial management, information services, client relations and marketing, human resources, facilities management and purchasing. The COO provides the leadership and management necessary to ensure that the firm has the proper operational controls, administrative and reporting procedures, and people and systems in place to effectively grow the firm and to ensure financial strength and operating efficiency.

Qualifications
A Bachelor’s degree or higher in an area of business administration, business management, finance, accounting, human resources, or related field. A Master’s degree in Business Administration, Finance or Accounting is preferred.  Experience as a Chief Financial Officer is preferred.
Ten or more years of progressively responsible work experience with large-sized legal or other professional service organization with direct experience in managing business operations. The successful candidate will have a thorough understanding of and experience with the following functions: financial management, information services, client relations, marketing, human resources, facilities management and purchasing.  Certified Legal Manager (CLM), Association of Legal Administrators, is beneficial.

Essential Functions of the Position
Operational Management and Strategic Planning
Serve as liaison between the President/Executive Committee and Firm Leadership/Professional Staff.
Provide day-to-day leadership and management that mirrors the adopted vision, mission and “over the top pillars”of the Firm.
Lead administrative operations of the Firm; improving alignment with the Firm’s needs and developing administrative leaders.
Develop a broad and deep understanding of each department’s operations, market, and competitive position; provide proactive business advice and counsel to practice and office leadership.
Drive execution of key business initiatives through establishment of goals, management of performance and evaluation of successful completion.
Development of revenue, profitability, and growth targets, and other Firm-wide, practice objectives.
Provide proactive advice and recommendations for efficiency improvement, technology and infrastructure upgrades, innovation, expense management, and additional expenditures where appropriate.
Monitor current trends and best practices in legal and professional services management; communicate the impactof new innovations, developments, and regulations; and make appropriate recommendations for action.
Prepare Firm policies and procedures for adoption by the Firm and maintain such materials on an ongoing basis.
Financial Management
Coordinate with the Director of Finance to monitor the financial performance of the Firm and each Department throughout the year and recommend appropriate responsive action; develop and establish robust reporting tools as warranted.
Works closely on the preparation and management of the annual budget of the Firm, and represents the Firm in itsrelationships with banks, accounting firms, insurers, and major vendors.
Responsible for driving the Firm to achieve and surpass profitability, cash flow, and business goals and objectives.
Information Services
Coordinate with the Director of Information Services to develop and implement plans for the infrastructure ofsystems and processes designed to accommodate the rapid growth objectives of our organization.
Oversee the operation and continuous refinement of the Firm’s information technology and telecommunications systems.
Client Relations and Marketing
Coordinate with the Director of Client Relations regarding continuous improvement of relationships with existingclients and the development of new clients.
Support the Firm’s marketing strategy and community and business outreach.
Human Resources
Coordinate with the Director of Talent and Culture to safeguard our culture that is team oriented and committedto professional excellence.
Support human resources functions including total rewards, talent acquisition, and training and development.
Facilities Management and Purchasing
Supervise the management of the Firm’s facility needs, including lease and sub-lease arrangements, officebuild-out and renovation, and other space utilization activities.
Oversee the Firm’s procurement activities to ensure the efficient, cost-effective purchase of goods and services, duly taking into account risk management concerns
