Research & Information Governance Analyst Position Description Summary The Research & Information Governance Analyst will have responsibility for assisting the Research & Information Governance Manager in developing and implementing policies and procedures surrounding the management of firm and client information. The position involves working with stakeholders both inside and outside the firm to coordinate the incoming and outgoing transfer of files; organization, management, and disposition of records; and the ongoing review of how information is handled. A portion of time will be spent assisting with research requests. The ideal candidate must be a self-starter who undertakes projects, meets deadlines, is detail-oriented, works well in team environments and is driven by service-oriented principles. Requirements The Research & Information Governance Analyst will meet the following qualifications: 1. Bachelor’s degree or equivalent experience; advanced degree in library or information science or related field preferred. 2. At least two years of relevant professional experience in a legal environment preferred. 3. Strong organizational skills and attention to detail. 4. Familiarity with basic principles of records and information management. 5. Experience with document management systems and proficiency with Microsoft Word and Excel. 6. Experience with records management systems, preferably the legal environment. 7. Strong technology skills and ability to work closely with the IT department. 8. Ability to work with structured and unstructured data and bring order to chaos. 9. Strong interpersonal skills that allow the ability to work with a variety of attorneys and administrative staff, and the professional presence and demeanor to represent the firm in its information governance and research functions to the attorneys, staff and administrative departments. 10. Knowledge of legal research products such as Westlaw, BloombergLaw, VitalLaw, Intelligize, Manzama, and others. 11. Strong written and oral communications skills, and must be able to convey ideas in a manner that is convincing to others. 12. Ability to work under deadlines. 13. Eagerness to constantly learn and pursue new skills and knowledge. 14. Strong work ethic and flexibility to meet the demands of the position; this includes working with attorneys and staff in the firm’s various offices on both the day and evening shifts. This job requires the successful candidate to be available to meet crises outside of regular working hours or when out of the office. Responsibilities The Research & Information Governance Analyst will have the following responsibilities: Coordinate the incoming and outgoing transfer of client files, including identification and review of files and communication with various parties.Assist with the implementation and coordination of legal holds.Assist with reviewing firm policies surrounding records retention and information management.Work closely with the Information Technology department to implement information governance procedures and policies.Propose new procedures relating to the management and organization of firm and client information.Provide research assistance to attorneys and staff as needed, working closely with other team members to conduct research, communicate with attorneys and staff, and manage workloadsMaintain relationships with appropriate vendors to maintain an understanding of the services and products available to the firm and to achieve optimum pricing.Ongoing self-education and professional development to ensure that she or he is knowledgeable of the development of legal services technologies available to the law firm, and understands the state of the art legal technology necessary to maintain the firm’s competitive edge in this area.Undertake other duties as requested by the firm’s Research & Information Governance Manager. Reporting The Research & Information Governance Analyst will report to the firm’s Research & Information Governance Manager. Office Requirements The Research & Information Governance Analyst will maintain hours that fit the needs of the attorneys and staff; these hours will be roughly 8:00 a.m. to 5:00 p.m. but should be flexible to meet the needs of the firm. The position is hybrid, with the expectation that approximately two days each week will be in the office, although more in-office time may be required as needed. Generally, the Research & Information Governance Analyst is expected to work the hours required to adequately perform the functions of the position. Occasional travel may be required.
