Real Estate and Transactional Paralegal (Hybrid Eligible)

Job Description SummaryWorks with and provides paralegal support to two real estate attorneys, other attorney staff, and outside counsel in managing and tracking legal matters. Handles a variety of legal matters. Interacts with representatives of University and outside government agencies. Assists in the coordination of work delegated to outside legal counsel. Works closely with counsel, client departments, other paralegals and secretarial support in maintaining various relevant case load. Coordinates transactional and corporate activities for the University, including: management and drafting of legal documents and filings, performance of legal research and fact-finding, provision of notices and maintenance and/or development of relevant databases, handling third party requests for student information, assistance with acceptance of service/responsibility for subpoenas directed to non-Health System units, and special projects as assigned. Transaction support, preferably with litigation support experience.Job DescriptionAssists in processing University real estate matters including applications and appeals of real estate taxes and exemptions, city notices, preparing real estate documents, research, and maintenance of real estate relates information, including a database of real property and real estate taxes.Assists with various research projects concerning real estate, general academic, and student issues including, but not limited to, searching city records, obtaining copies of statutes, regulations, ordinances, corporate filings, and cases.Handles third party requests for student information, including complying with subpoenas and assisting with responses to agency requests for information. Facilitates, tracks, and maintains records regarding answers to subpoenas and information requests regarding student records (academic, medical, financial, and conduct) and other University matters. Organizes and gathers information from various departments and entities as it relates to subpoena requests. Uses independent judgment when handling various requests. Assists, prepares, and maintains various documents and books of corporate entities owned by the University including, but not limited to, tracking specific corporate details, scheduling annual meetings, distributing corporate documents and information when requested, and maintaining corporate minute books (drafting meeting notices, minutes, and resolutions).Assists with managing University liquor licenses with outside counsel.Maintains, processes, and organizes University bankruptcy, foreclosure, and judgment notices. Draft and file bankruptcy pleadings and escrow documents. Process Proof of Claim forms related to bankruptcy matters. Maintain electronic and physical organization of real estate and bankruptcy documents, including court cases, hearings, depositions and other court-related material.Acts as liaison between OGC and the office of the Vice President of Finance and Treasurer; provides support on various matters, including processing mortgage documents for University faculty and staff loan programs; assists with real estate and business related matters. Works with University’s Risk Management Department, drafts and reviews contracts for the Office of Student Life.Assists Business Services, Office of the Executive Vice President, and Facilities Management departments with various legal needs, including drafting and reviewing documents and responding to inquiries.Other duties as assigned.QualificationsMinimum of 3-5 years experience as a paralegal in a university or hospital legal office, law firm or corporate office setting with proven strong drafting & organizational skills required; Bachelor’s Degree required and Paralegal Certification preferred; superior computer skills in a PC-based environment (MS Office including Word, Excel, Access, PowerPoint, Outlook), as well as electronic research skills using Lexis-Nexis, WestLaw, other commercial databases and other Internet resources; must be able to work cooperatively with staff at all levels, able to successfully work on multiple assignments at once and respond quickly to competing time demands, be motivated to work hard and take pride in his/her work; must be careful, accurate, thorough and detail-oriented; good interpersonal skills are essential.
